Shuttle Service in Vienna for Groups and Events

A shuttle is not a series of single transfers

A single transfer moves one party from one address to another and then ends. A shuttle service works differently. One vehicle is assigned to your event for a block of time and drives the same route again and again during that block: hotel to venue, back to the hotel, out again. Between those runs it stays where you need it, engine off, driver reachable.

That difference matters most in the two situations international hosts run into. The first is arrival: thirty guests standing in a hotel lobby at the same moment, none of whom can tell you how far the venue is. The second is the end of the night, when the last thing you want to be doing is arranging rides in a courtyard at half past midnight.

What changes for you as the host: you are not dispatching each small group yourself, and you are not standing outside late in the evening trying to explain a Vienna address over the phone. You have one assigned vehicle, one driver and one number for the whole event.

Seats and luggage: which vehicle carries whom

Planning needs seat numbers you can rely on, so here they are without rounding up. Our classes:

• Premium Van Mercedes V-Class or similar · up to 8 people and up to 8 suitcases. This is the usual minibus shuttle for Vienna groups: everyone stays together, and the wide sliding door is a real advantage for long evening dresses and for guests who need a moment to get in.
• Economy (normally a mid-size estate car, for example a C-Class estate or comparable) – up to 3 people and up to 3 suitcases. Useful for latecomers or one small extra round.
• Premium Mercedes E-Class or similar · up to 3 people. For the couple, the guest of honour or a speaker who arrives separately.
• First Class Mercedes S-Class or similar · up to 3 people. For arrivals where the car is part of the picture.

The combinations follow from that. Up to 8 guests travel in one vehicle. For 9 to 11 guests, a V-Class plus one Economy car covers it. A group of 16 normally goes in two waves with a single vehicle, or at the same time in two vehicles if a second one is free on your date. From around 30 guests we plan several waves, check an additional vehicle and fix the departure times in writing beforehand. How many vehicles we can put on the road at once depends on the date, and the offer states it bindingly.

Tell us at enquiry stage whether child seats are needed, whether anyone is boarding with a walking aid, and whether anything bulky travels with the group: flowers, gifts, audio equipment, musical instruments. These things belong in the plan, not in a conversation on the night. When a full car and real luggage meet, we would rather have judged the load space conservatively than optimistically. Guests who have just come off a long-haul flight tend to have more with them than the organiser expects.

What to prepare, especially if you are organising from abroad

One named person on each side

A shuttle depends on somebody keeping an eye on the waves. Name exactly one contact who will genuinely be reachable on the night. In practice that is neither the couple nor the host: it is a bridesmaid, an assistant or someone from the event agency. Give us their mobile number and pass it to your guests as well. On our side you have one number through which the scheduling runs, so nobody has to negotiate anything in a language they do not speak.

A standing place, not just an address

„A Palais in the first district“ is not enough to plan a loop. We need the street with the house number, a note about pedestrian zones, access restrictions or roadworks, and a concrete standing place where eight people can get in and out without holding up traffic. Vienna’s historic centre has narrow lanes and stretches where stopping is simply not possible, and hotel forecourts are often tight or occupied. In those cases we set a meeting point a few metres away and tell your guests where it is in advance. A buffer on every loop

Vienna has rush hours, closures around large events, and weather in winter. Allow 15 to 20 minutes of buffer per loop and set the first departure so that guests arrive early rather than exactly on time. A vehicle waiting a few minutes is a smaller problem than one late wave, because a late wave pushes every wave after it.

Questions we are asked before an event

From how many guests is a shuttle worth it?

In practice from about six to eight people travelling from the same direction. Below that, single transfers are usually simpler. The deciding factor is less the headcount than whether the vehicle has to wait in between. As soon as real waiting time appears, an hourly package is the sensible form.

How many people fit in one vehicle?

Up to 8 in the V-Class, and up to 3 each in the Economy, E-Class and S-Class. Larger groups travel in several waves, or in two vehicles running in parallel if a second one is available for your date.

How long does one wave take?

A complete loop inside Vienna takes roughly 30 to 50 minutes, depending on the route, the time of day and the traffic. For three waves, plan two and a half hours rather than two.

Is the waiting time on site included in the price?

Yes, within the hourly package you have booked. That is the whole point of this booking form: you are paying for time, not for individual journeys. Beyond the package we extend by the hour, provided the vehicle is free.

What does a shuttle for one evening cost?

It depends on the vehicle class and the duration. The guide prices per hour are Economy from €59, E-Class from €69, V-Class from €99 and S-Class from €149. For the duration, add up the time from the first pickup to the last return run. An evening with an outward run, waiting time and two return runs usually adds up to 6 to 8 hours. Can we have two different return times?

Yes, and that is the normal case. Two or three fixed return runs cover most events. The only real requirement is that the times are settled beforehand and that your guests know them.

How far ahead should we book?

For a single vehicle, a few days is often enough. If you need several vehicles, or you are planning for a weekend in the ball and wedding season or around a large trade fair or congress, we suggest two to four weeks of lead time, because the choice of vehicles and time slots is wider then.

Do you also drive outside Vienna?

Yes. A Heuriger on the city edge, a venue in the Wienerwald (the wooded hills to the west of Vienna), in Burgenland or in Lower Austria are all ordinary requests. Give us the address and we build the driving times into the wave plan. Outside the city a loop takes correspondingly longer, so the hourly package is correspondingly larger.

Are child seats available?

Yes, but tell us when you enquire, not on the day. We need to know how many and roughly what age the children are, so that the right seats are in the right vehicle before the first wave. This matters more for shuttle work than for a single transfer, because the same car is doing several rounds.

Is a tip expected?

No. The price you agree is the price, and nothing is added at the end of the evening. Guests sometimes round up if they are pleased with how the night ran, and that is entirely their choice. Nobody will be asked for anything in the car.

Who settles the bill, and how?

Decide that before the event and tell us, so that no guest is asked for money in a hotel lobby. Most hosts arrange the payment centrally for the whole shuttle. For approved companies and event agencies, settlement by invoice after the event is possible; we need the complete billing details in advance. Either way, the fixed price from the calculator or our written confirmation is what applies.

How will our guests know which vehicle is theirs?

We agree a concrete standing place beforehand and pass it to your contact person, who passes it to the guests. Where a hotel entrance is too narrow or too busy, that place is a few metres away and we say exactly where. Your contact has one number for the whole evening, which is faster than every guest calling separately.

Can we collect guests from more than one hotel?

Yes. Give us each address and the number of people at each. Every additional stop lengthens the loop, so a multi-hotel pickup either needs a wider departure window or a larger hourly package. We say which of the two applies to your plan when we quote.
